Torfaen Voluntary Alliance (TVA) is a member of Third Sector Support Wales (TSSW), a strategic partnership between Wales Council for Voluntary Action (WCVA) and the 19 County Voluntary Councils (CVCs) across Wales. As part of this collaborative network, we are committed to supporting the third sector locally and nationally by working in partnership, sharing resources, and managing data responsibly.

This privacy statement should be read in conjunction with the TSSW Privacy Notice, which outlines how personal information is managed collectively through our shared databases, the Client Relationship Management (CRM) system and the Volunteer Management System.

Our Role and Commitment

TVA is committed to respecting and protecting your privacy. We operate under the joint data controller arrangements set out in the TSSW Memorandum of Understanding (MOU). This means that TVA, together with WCVA and other CVCs, has responsibility for ensuring your personal data is used lawfully, fairly, and transparently.

Locally, TVA may collect and process your personal information:

  • When you engage with our services, including support, advice, events, training, or communications;
  • When you register as a volunteer or promote a volunteering opportunity in Torfaen;
  • When you contact us through our website, by phone, by email, or in person;
  • When you take part in partnership projects, community initiatives, or sector research;
  • If your details are shared with us by a partner organisation (e.g., if you are referred for support or collaboration).

Your personal information may be recorded in either or both of the shared TSSW databases (CRM and Volunteer Management System) to help us manage our relationship with you, ensure continuity of support, and improve services.

How We Use Your Data Locally

TVA may use your personal information to:

  • Provide tailored support and guidance to individuals, community groups, and voluntary organisations;
  • Keep you informed about local training, funding, volunteering, and events;
  • Promote opportunities and match volunteers with organisations in Torfaen;
  • Monitor the reach and impact of our work to funders and stakeholders (using anonymised data);
  • Ensure we comply with our legal and contractual obligations.

Who Can Access Your Data

As set out in the TSSW privacy notice, only authorised staff from TVA or WCVA – under strict protocols – can access your personal information. We will only access or use your data where:

  • You are based in Torfaen or connected to a local project;
  • You have an existing relationship with TVA;
  • You have subscribed to receive communications from TVA;
  • It is in the legitimate interest of TVA to provide relevant local support or information to you.

TVA will never sell or share your personal data for marketing purposes, and we only share data with third parties where there is a lawful basis to do so, as described in the TSSW notice.

We respect your choices and will only send you information that you have agreed to receive or that is considered necessary for the service we are providing to you.
